We at Medojob Ltd. take your privacy seriously. This Privacy Policy describes how we collect, use, store, and protect personal information on medojob.com. Please read it carefully before using our healthcare career platform.

1. Introduction

We, at Medojob Ltd. and our affiliated companies (hereinafter collectively referred to as "Medojob", "we", "us", or "our"), are committed to respecting your online privacy and recognize the need for appropriate protection and management of any personally identifiable information you share with us.

This Privacy Policy ("Policy") describes how Medojob collects, uses, discloses, and transfers personal information of users through its websites and applications, including www.medojob.com, mobile applications, and online services (collectively, the "Platform"). This Policy applies to those who visit the Platform, or whose information Medojob otherwise receives in connection with its services, such as healthcare professionals, employers, recruiters, and partners (hereinafter collectively referred to as "Users").

For the purposes of this Privacy Policy, "you" or "your" shall mean the person who is accessing the Platform. By visiting or using the Platform, you accept the practices described in this Policy.

2. Scope of this Policy

This Policy applies to information we collect on websites and applications, including www.medojob.com, mobile applications, and online services. Our Platform may link to other websites over which we have no control. Medojob is not responsible for the privacy policies or practices of other websites. We encourage you to review the privacy policies of those sites so you can understand how they collect, use, and share your information.

If you do not want your information to be collected, used, and transferred as described by this Policy, you may revoke your consent by contacting us at info@medojob.com. If you revoke your consent, your account and profile information will be deleted in accordance with our retention policies.

We share information with healthcare employers and recruiters and are unable to control their use of your data. We also do not control the data use practices of (a) those who access your information on or through our sites and applications, or (b) ad networks and other third parties with whom we work to serve you personalized content.

Information collected on our sites and applications is stored in whole or in part in Canada and is therefore subject to Canadian federal and provincial law, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Alberta privacy legislation.

3. Information We Collect and Retain

We collect personal information about you when you use our Platform. "Personal information" means any information relating to an identified or identifiable individual, including common identifiers such as a name, an identification number, contact information, location data, online identifiers, or any other information categorized as personal information under applicable laws.

The categories of personal information we collect, and how we collect them, depend on how you interact with us. We may collect:

  • Your name, contact information such as address, email address, telephone number, and mobile number.
  • Information about your healthcare education, occupation, professional credentials, licenses, certifications, registrations, skills, experience, awards, memberships in healthcare associations, and clinical specializations.
  • Information typically included in a healthcare resume or CV — including work experience, educational qualifications, current and past remuneration data, and a copy of your resume — when you register on the Platform.
  • Information imported by you or your connections from third-party applications or professional networks.
  • Information about third parties, such as references or contacts, that you provide to us if you have their express written consent to do so.
  • Your career preferences, history, favorites, and skills.
  • Your age, gender, race, or ethnicity, where permitted by Canadian law and where you choose to provide it.
  • Information about the services you use and how you use them, including log information and approximate location, when accessing services through the Platform.
  • Information collected through surveys and forms when you choose to participate.
  • Technical information collected through cookies regarding your system and interaction with our Platform.
  • Payment service information and billing details for paid services.
  • Device-related information, including IP address, device ID, browser, and operating system, when you access the Platform from a device.
  • Communications between you and Medojob, which we may record and monitor to ensure compliance with our legal and regulatory obligations.
  • Information shared via Google, LinkedIn, Facebook, or other social media accounts when you choose to connect them to our Platform.

Sensitive Health and Personal Data

Because Medojob serves the healthcare sector, we recognize that resumes and profiles may sometimes contain sensitive information. We strongly recommend that you do not include personal health information, patient details, racial or ethnic origin, religious beliefs, social insurance numbers, or any other sensitive personal information in your profile or CV. If you choose to include such information, you do so at your own risk, and Medojob cannot control how third parties accessing your profile may use it.

3.1 Information We Collect from Employers and Recruiters

When healthcare organizations, hospitals, clinics, recruitment agencies, or individual recruiters register on Medojob to post jobs or access our candidate database, we collect the following categories of information about the employer entity and its representatives:

Organizational Information:

  • Legal company name, trade name, business registration number, and corporate structure (e.g., hospital, private clinic, long-term care facility, staffing agency).
  • Business address, headquarters location, and any branch or facility locations.
  • Industry classification, healthcare specialty (e.g., acute care, primary care, mental health, dental, allied health), and organization size.
  • Company logo, branding assets, mission statement, and "About Us" content provided for the employer profile page.
  • Healthcare facility licensing or accreditation information where voluntarily provided to enhance employer credibility.
  • Tax identification number (e.g., Business Number) where required for invoicing or legal compliance.

Representative & Recruiter Information:

  • Full name, job title, and role of the individual(s) acting on behalf of the employer (e.g., HR director, clinical recruiter, hiring manager).
  • Business email address, work telephone number, and direct contact details.
  • Authorization status confirming the individual has authority to act on behalf of the employer organization.
  • Login credentials and account security information.
  • Communication preferences and language preference.

Job Posting & Recruitment Activity:

  • Job descriptions, role requirements, qualifications, salary or compensation ranges, and benefits offered.
  • Job location, shift requirements, and employment type (e.g., permanent, locum, casual, contract).
  • Application screening criteria, custom questions, and recruitment workflow preferences.
  • Records of CV searches performed, candidate profiles viewed, and candidates contacted through the Platform.
  • Messaging history and communications exchanged with healthcare professionals through Medojob's messaging system.
  • Hiring outcomes, feedback ratings, and reviews left for candidates (where applicable).

Billing & Payment Information:

  • Billing contact name and address.
  • Subscription plan, package details, and purchase history.
  • Payment method information (processed through PCI-compliant third-party payment processors — full credit card numbers are never stored on Medojob servers).
  • Invoices, receipts, and transaction records.

Technical & Usage Information:

  • IP address, device information, browser type, and operating system used to access employer accounts.
  • Login timestamps, session activity, and pages visited.
  • Search queries, filters applied, and database access patterns.
  • Cookies and analytics data, as described in Section 12.

How Employer Information Is Used

Information collected from employers is used to verify legitimate recruitment activity, provide and improve our services, process payments, prevent fraud, comply with applicable Canadian laws, and where appropriate, display employer branding (such as company name and logo) on job listings and profile pages in accordance with the licence granted in our Terms and Conditions. Aggregated, non-identifying employer data may also be used to generate industry insights and platform analytics.

4. How We Use Information

We use the information we collect to provide our services, respond to you, operate and improve our Platform, and foster a positive user experience. By registering with Medojob, managing your profile, or opting in when presented with choices, you consent to our use of your information in the following ways:

  • To create a healthcare profile for you based on the information you provide or that is imported from other sites, applications, or third parties.
  • To provide personalized, targeted, or location-based content, healthcare job opportunities, services, and communications.
  • To allow you to contact other users or to invite others to join the Platform.
  • To allow you to import or export information about yourself or your contacts from or to other sites or applications.
  • To process purchases, subscriptions, or paid feature access.
  • To contact you about feature updates, service-related communications, healthcare job alerts, and important security notices.
  • To provide newsletters, healthcare career advice, continuing education opportunities, and promotions.
  • To inform you of other products or services available from Medojob or its affiliates.
  • To enable you to contact us, conduct surveys, run promotions and contests, and publish their results.
  • To help potential healthcare employers and recruiters find your profile and connect with you.
  • To provide information about you and your potential interest in job postings to employer customers and other service providers supporting healthcare career development.
  • To provide products and services to healthcare employer customers to complete the recruitment and hiring process.
  • To generate internal reports about the use of our sites and applications.
  • To allow you to share jobs and profile information with employers.
  • To make profile content discoverable to search engines, where you have opted to make your profile publicly visible.
  • To detect, investigate, and prevent activities that may violate our policies or applicable laws.
  • To make suggestions and draw inferences regarding additional jobs, products, or services that may interest you.

Some of our products and services, such as our searchable healthcare professional profile/CV database, enable verified recruiters and employers to view your profile information and resume to contact you about employment opportunities. Profile information may be visible to employers using Medojob sites and applications.

Information you post in public areas of the Platform may be accessed, used, and stored by others, including those in countries that may not have privacy legislation equivalent to Canadian standards. While Medojob takes measures to safeguard your information from unauthorized access or inappropriate use, we do not control employers, recruiters, or third parties and are not responsible for their use of information you provide.

5. How We Share Information

One of our primary purposes is to provide you with healthcare job opportunities from employers and recruiters, and a platform to share your CV and profile widely to maximize your career opportunities. The information we gather may be shared within the Medojob group of companies and with select third parties who provide services to support your healthcare career development.

Service providers: We share information with third parties who help deliver our products and services — including web hosting, CV database storage, data analytics, marketing assistance, payment processing, and customer service. These companies may access your information only as necessary to perform their functions and may not use it for any other purpose.

Healthcare employers and recruiters: Parties with access to our searchable profile/CV database will be able to view your profile and CV. By applying to a job or expressing interest, you consent to disclosure of your information to that employer or recruiter.

Aggregated data: We may share aggregated, non-identifying information (such as job qualifications, education levels, geographic distribution, or experience trends) with healthcare employers, partners, advertisers, or community members. This aggregated data does not identify users individually.

Legal requirements: We disclose information if legally required to do so, or in good faith where necessary to: (a) meet legal obligations or respond to legal process, (b) protect our rights or property, (c) prevent a crime or protect public or national security, or (d) protect the personal safety of users or the public.

Business transfers: We may disclose and transfer information to a third party who acquires Medojob's business or assets, whether through merger, consolidation, or sale. In the event of insolvency, information will be handled in accordance with court-approved processes. You will be notified of any such transfer.

6. Important Note About Your Profile, CV, or Resume

When you create or post a profile, CV, or resume, we store it in our searchable healthcare professional database. Visible profiles and CVs may be found by anyone with access to our database. We cannot control the retention, use, or privacy of profiles or CVs that have been viewed or downloaded by others.

We attempt to limit access to our searchable profile/CV database to legitimate users such as paying healthcare employers, recruiters, hospital hiring managers, clinical recruitment specialists, and human resource professionals — but we cannot guarantee that other parties will not gain access. Once your CV has been disclosed to a third party, Medojob is unable to retrieve it.

You may remove your profile or CV from our searchable database at any time through your account settings. However, anyone who has already viewed your profile or CV may have retained a copy. Accordingly, you should not include sensitive personal information, patient data, or other information you would not want made public in your profile or CV.

Profiles and CVs you submit must not contain sensitive data relating to your: (i) racial or ethnic origin, (ii) political or philosophical beliefs, (iii) religious beliefs, (iv) trade union or political party membership, (v) physical, mental, or genetic health, (vi) addictions or sexual life, (vii) the commission of criminal offences, (viii) any unlawful conduct, or (ix) Social Insurance Number or other government-issued identification numbers. If your CV contains this information, you do so at your own risk.

7. How We Store Information

Because managing your healthcare career is a long-term process, we retain the information we gather about you to make repeated use of our Platform efficient, practical, and relevant — until you change or remove your personal data as described below. You may access, review, correct, update, or delete your profile or CV at any time by logging into your account.

Access to or correction, update, or deletion of your personal information may be denied or limited by Medojob if it would violate another person's rights, conflict with regulatory obligations, or as otherwise permitted by applicable law. You have the right to ask us to delete your data. To request deletion, email info@medojob.com.

Once your request is received, we follow an internal deletion process to ensure your data is safely removed within fifteen (15) working days. You may be contacted for verification before your account is deleted. Archival copies are retained only as long as needed for audit, legal compliance, and record-keeping purposes. We will respond to information access requests without undue delay and, in any event, within 30 days of receipt, in line with PIPEDA requirements.

Separately, and regardless of your privacy settings, if you do not log into your account for an extended period, your account may be marked inactive and scheduled for deletion. Our current expiration period is approximately 15 years, though we may adjust this based on changing healthcare hiring patterns. You will receive an email notification before any such deletion.

8. Security

You are responsible for keeping your username and password secret and secure. You should be aware that your CV may be monitored by your current employer, particularly if accessed from a workplace device or network.

Medojob takes appropriate technical and organizational measures to secure your personal information from accidental loss and unauthorized access, use, alteration, or disclosure. We collect personal data through secure servers, use firewalls, and apply industry-standard security procedures. Where appropriate, we may request proof of identity before disclosing personal information.

However, the Internet is an open system, and we cannot guarantee that unauthorized third parties will not be able to bypass these measures. No method of transmission or electronic storage is completely secure. While we strive to protect the security of your information and continuously review our information security measures, we cannot guarantee absolute security.

When you place a paid order on Medojob, your payment information — including banking and credit card information — is encrypted using industry-standard encryption. Medojob uses PCI-compliant payment service providers to process all credit card transactions. We do not store full credit card numbers on our servers.

9. Healthcare-Specific Data Handling

Given that Medojob serves healthcare professionals and employers, we apply additional considerations to the data we handle:

  • We do not collect, store, or process protected patient health information (PHI). Users must not upload patient data to their resumes, cover letters, or any part of the Platform.
  • Professional credentials, licenses, and certifications shared on your profile are visible to verified employers and recruiters. You are responsible for ensuring this information is accurate and you have the right to share it.
  • Medojob does not independently verify the licensure status of healthcare professionals. Employers conducting hiring decisions are expected to verify credentials with the relevant Canadian provincial regulatory authority (e.g., the College of Physicians and Surgeons of Alberta, the College and Association of Registered Nurses of Alberta).
  • If you suspect that another user has misrepresented their credentials, please report it to info@medojob.com. Such reports may be referred to applicable regulatory authorities.
  • Medojob complies with applicable Canadian privacy legislation, including PIPEDA and Alberta's Personal Information Protection Act (PIPA), in handling all personal information collected through the Platform.

10. Children

Medojob is not intended for use by, nor do we knowingly collect personal information from, children under the age of 18. If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information promptly.

11. Responsible Use by Employers

Healthcare employers and recruiters accessing profile and CV data on Medojob are expected to use the provided information responsibly and exclusively for legitimate recruitment and hiring purposes. Misuse of candidate data — including but not limited to unauthorized sharing, selling, or any form of exploitation — is strictly prohibited.

Employers must adhere to ethical standards and comply with all applicable Canadian and provincial laws and regulations governing the use of personal information, including PIPEDA and Alberta's PIPA. Medojob reserves the right to take appropriate action against any employer found to be in violation of these terms — including suspension or termination of access to the CV database, and where appropriate, referral to regulatory or law enforcement authorities.

12. Use of Cookies, Web Beacons, Google Analytics, and JavaScript

Cookies: Medojob uses cookies to help personalize your online experience, including storing user preferences, improving search results, and tracking user trends. We use cookies for:

  • Security: To allow secure access to your account.
  • Preferences: To store your preferences such as language choice and display of healthcare job search results.
  • Analytics: To track traffic patterns so we can identify popular content and potential issues.
  • Features: To track which jobs you search, view, and apply to so we can show you more relevant healthcare opportunities.

A cookie is a text file stored either temporarily in your computer's memory (a "session" cookie) or on your hard drive (a "persistent" cookie) by a web page server. Cookies do not run programs or deliver viruses. Session cookies expire after a period of inactivity or when you close your browser. Persistent cookies remain on your computer after leaving our site and expire after a defined period.

Web Beacons: Medojob web pages and partner pages may use electronic images known as web beacons (or "single-pixel gifs") that allow us to collect information about visits, measure the effectiveness of advertisements and job postings, and deliver co-branded services.

JavaScript: Medojob uses JavaScript within certain features and advertisements to enhance website functionality. We do not collect personal data via JavaScript itself, but use it to support tracking and interactivity. Disabling JavaScript may limit your ability to use some Platform features.

Google Analytics: Medojob uses Google Analytics, a web analytics service provided by Google, Inc. Google Analytics uses cookies to help analyze how users interact with our site. The information generated (including your IP address) is transmitted to and stored by Google on servers in the United States and other locations. Google may transfer this information to third parties where required by law. By using this Platform, you consent to Google's processing of your data in this manner. You may opt out of Google Analytics tracking by adjusting your browser settings or installing the Google Analytics opt-out browser add-on.

13. Your Rights Under Canadian Privacy Law

Under PIPEDA and Alberta's PIPA, you have the following rights regarding your personal information:

  • Right to lodge a complaint: If you believe we have not handled your personal information in accordance with applicable law, you may lodge a complaint with the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner of Alberta.
